Removal Company Privacy & Data Handling

These rules explain how removal companies, office staff, drivers and subcontractors should handle customer information received through Unboxed Moves.

Core rule

Use customer data only for the relevant quote, survey, booking, removal order, support, complaint, payment, insurance or legal/accounting purpose.

1. Company responsibility

Your company must protect customer data and ensure only authorised staff, drivers or subcontractors can access details needed for their role. Do not export, copy, resell or reuse customer data for unrelated marketing.

2. Documents and checks

Depending on your services, Unboxed Moves may request trading details, insurance documents, driving licence information, goods vehicle operator licence, waste carrier registration and other evidence needed to support customer confidence.

3. Permitted use

  • review and respond to the relevant lead;
  • prepare a quote, arrange a survey or manage a removal order;
  • contact the customer about the job;
  • handle payment, support, complaints, insurance, legal or accounting records connected to that job.

4. Prohibited use

  • do not share lead data with unrelated third parties;
  • do not keep data indefinitely after it is no longer needed;
  • do not let drivers or subcontractors access unrelated customers;
  • do not use platform data for unrelated marketing without your own lawful basis and notice.

5. Driver and employee access

Drivers and employees should see only the work information they need. Remove access promptly when a person leaves the business or no longer needs the platform.

6. Retention and deletion

Keep identifiable personal data only as long as necessary for the quote, job, accounting, insurance, legal or dispute purpose. Delete or anonymise unnecessary details when they are no longer needed.

7. Security basics

  • use strong passwords and multi-factor authentication where available;
  • keep phones, laptops and browsers updated;
  • store downloaded files and printed job sheets securely;
  • report suspected data loss or unauthorised access quickly.

8. Customer privacy requests

If Unboxed Moves masks, restricts or removes a customer's platform data, treat that as a signal to stop using the platform-supplied details unless your company has its own lawful reason to keep specific records.
